The CRM holds relationship context, the accepted proposal holds scope, the portal or delivery system holds work, and the finance system holds billing records.

Six onboarding stages

Confirm acceptance, create the client record, collect missing information, provision access, create delivery work and schedule the billing path. Each stage needs an owner and completion condition.

Automate only the stable parts

Record creation, reminders and task templates are good candidates. Scope interpretation, exceptions and sensitive access may require human review.

Run a test client

Use a non-sensitive test record and verify every field, notification, permission, duplicate rule and failure recovery before using the workflow with a client.
