Decision criteria
These criteria define the page. A product is not rewarded for affiliate availability or commission.
- Reason to switch
- Required records
- Lost HubSpot capabilities
- New integration needs
- Migration effort
- One-year cost
Choose the alternative by the reason for switching
| Primary switching reason | Candidate | Critical tradeoff |
|---|---|---|
| Simplify the sales pipeline | Pipedrive | Marketing, service, portal, delivery and accounting may remain separate |
| Lower-cost configurable CRM and suite path | Zoho CRM | Configuration and exact connected-product boundaries require review |
| Center the workflow in Google Workspace | Copper | Native proposals, invoicing and a client portal remain outside the core CRM |
| Reduce manual B2B relationship logging | Salesflare | Project, proposal and accounting work relies on connected products |
| Design a flexible CRM data model | Attio | The team must define structure and connected post-sale systems |
| Free CRM entry; paid tiers add built-in communication | Freshsales | Project delivery, client portal and invoicing remain separate |
| Connect won opportunities to projects | Insightly | Public CRM pricing is annual and the client portal is a separate product |
| Keep inbound marketing, service and content together | Stay with HubSpot | Optimize the current tier before funding a migration |

Define the HubSpot scope that must be replaced
A HubSpot account can contain CRM records, forms, marketing email, meeting links, service workflows, content, automation, reporting, payments and connected applications. Replacing only the contact database can leave the operating workflow broken.
Create a replacement ledger with one row for every live function, its owner, volume, export method, target system and acceptance test.
- CRM objects, properties, pipelines and associations
- Forms, landing pages, lists and marketing contacts
- Email templates, sequences, workflows and suppression rules
- Meeting links, tickets, knowledge content and connected apps
- Reports, dashboards, files, activities and historical attribution
When staying with HubSpot is the better decision
Stay when the business actively uses the connected platform, the team understands it and the migration would recreate the same cost across several specialist products. First remove unused seats, duplicate contacts, stale automations and unnecessary add-ons.
A switching article should not manufacture urgency. Migration is justified when a documented mismatch remains after the current account is simplified and repriced.
Run a controlled parallel test
Move a small representative data set, reproduce one live pipeline and run both systems long enough to validate email, scheduling, automation, reporting and the accepted-deal handoff. Freeze configuration changes during the final migration window.
Do not cancel the source until exports, record counts, attachments, owners, timestamps and downstream integrations pass a documented acceptance check.
Compare the replacement stack, not the replacement CRM
A lower-cost CRM may need separate forms, marketing email, scheduling, service, proposals, automation or reporting. Price those products, connectors and administrative owners over twelve and thirty-six months.
