The subscription price is only one layer of CRM cost. A useful budget separates documented vendor charges from migration, integration, administration and exit assumptions.

Calculate the raw license bill and the capability-matched total stack cost separately. This prevents a cheaper plan from looking complete when it still needs other products or manual work.

CRM total-cost formula

Use: subscriptions + paid add-ons + contact or usage charges + onboarding + migration + integrations + training + internal administration + support + taxes or foreign exchange + eventual exit costs.

The formula is intentionally broader than a pricing table. It separates vendor facts from inputs that only the buyer can know, such as cleanup hours, implementation labor and the value of an administrator's time.

Raw license cost is not capability-matched cost

A free or low-cost CRM may support contacts and a pipeline but not the automation, proposal, client portal, project, invoicing or reporting workflow required by the business. The capability-matched total includes the minimum eligible CRM tier plus the products needed to close those gaps.

Keep the raw and matched totals side by side. That makes product overlap visible and prevents unsupported features from being treated as free.

Model 12 months and 36 months

A twelve-month view exposes first-year onboarding and migration. A thirty-six-month view shows cumulative recurring seat cost, administration, add-ons and whether the initial implementation cost is diluted or repeated.

Do not forecast vendor price increases without evidence. Use the current documented rate as the base case, then create a clearly labeled sensitivity scenario if the buyer wants to test a change.

Make internal labor visible

Estimate data cleanup, field mapping, configuration, training, weekly administration and report maintenance. Record hours and an explicit internal rate instead of burying labor inside a vague implementation total.

If the rate is unknown, leave it unknown. A blank assumption is not evidence that the work is free.

Include eventual exit work

Exporting tables is not the same as reconstructing a working CRM. Activities, notes, files, associations, owners, automation and historical context can require separate exports or mapping.

Budget a small verified export test during selection. It improves the current decision and reduces the risk of an expensive emergency migration later.
