Zoho CRM alternatives decision map
First decide whether Zoho CRM is actually the problem
Zoho CRM documents a free three-user edition, multiple paid tiers, email and calendar integrations, lead forms, workflow automation, CPQ and customer portals at different levels. Replacing it can remove configuration work, but it can also recreate several connected functions as separate subscriptions.
Write one failing workflow with its frequency and consequence. If the problem is field design, ownership or training, a controlled reconfiguration may be cheaper and safer than a migration.
Use all three Zoho export paths deliberately
Zoho documents module exports, complete backups and report exports. Module data can be exported as CSV or XLSX, while a complete backup is the documented path for all module data plus attachments and configuration details. Permissions, daily limits and the seven-day download window also matter.
Create an export inventory for leads, contacts, accounts, deals, activities, notes, attachments, owners, custom fields, layouts, workflows, portals and connected apps. A successful CSV download does not prove the replacement can reconstruct every relationship.
Pipedrive: test when focus is the reason to leave
Pipedrive is the clearest candidate when the consultancy wants a conventional visual pipeline, visible next actions and a smaller sales-focused surface. The documented Growth tier adds full email sync, automation, sequences and a meeting scheduler to the core CRM path.
The narrower scope is also the boundary: project, proposal, client-portal and invoicing requirements still need a plan-level or connected-product check. Preserve activities, notes and files through the separate export procedures Pipedrive documents.
Salesflare: test when data maintenance is the adoption problem
Salesflare documents automatic capture of contacts, companies, emails, meetings and calls for B2B relationship work. That makes it a distinct test when Zoho records are becoming stale because consultants do not consistently enter relationship history.
Its documented exports cover accounts, contacts and opportunities. Proposal, project, invoicing and portal requirements must still be mapped to connected systems rather than assumed inside the CRM.
Copper: test a Google Workspace-centered operating model
Copper documents Gmail, Google Calendar, Drive and Google Contacts connections alongside pipelines, tasks and projects. It is materially different when consultants want relationship and project records closer to the Google Workspace tools they already use.

Insightly: test the won-deal-to-project handoff
Insightly documents project management and opportunity-to-project conversion from its Plus CRM plan. That is a focused alternative for a service team whose primary problem is losing context between sales and delivery.
The checked public CRM grid used annual billing, and broader email and workflow automation begin at Professional. Its CSV export documentation identifies excluded data, so the trial should include an explicit reconstruction test before commitment.
Run a reversible migration rehearsal
Export a representative Zoho sample, map identifiers and required fields, import it into a nonproduction trial and reconcile counts. Test one open deal, a completed activity, a future task, a note, an attachment, a custom field and a won-deal handoff.
Keep Zoho read-only during a short parallel run, define the rollback point and assign one owner for discrepancies. Do not cancel the source system until required data, automations and downstream handoffs are verified.
Compare complete operating cost, not CRM price alone
Add every paid seat, minimum tier, implementation hour, migration task, connected proposal or invoicing product, ongoing administration and eventual exit step. Keep EUR and USD records separate unless the buyer explicitly supplies an exchange rate.
